The primary function of this position is to deliver unsurpassed service to our internal members in the area of employee benefits by preparing, administering and maintaining benefit programs including health, life, dental, short and long term disability, supplemental/term life insurance and AD&D, 401(k) Plan, Defined Benefit Plan, Cafeteria Plan/Flexible Spending Account. The Employee Benefit Specialist will also administer all types of employee leaves of absence including Family Medical Leave (FMLA). Additionally, this role administers Cobra, Worker’s Compensation and other programs as required. Ensure Governmental compliance for PPACA, ERISA, IRS, OSHA and ADA. Provide a backup resource for employee payroll process functions. Be an advocate for company’s Wellness Program and serve as a core member of the Wellness Committee.

Assist with strategic planning of company health plans in order to provide the best care possible for employees. Coordinate and lead annual open enrollment including employee communication and meetings with appropriate 3rd party vendors.
Administer Family Medical Leave (FMLA). Distribute forms, advise manager of employee eligibility, monitor consistent six month re-certification process and maintain appropriate tracking in appropriate systems of employee use of FMLA hours. Determine eligibility for other leaves of absence and track usage by employee. Ensure that federal regulations are met.
Administer Worker’s Compensation claims process. Lead injured or ill employees through the worker’s compensation process to ensure compliance. Maintain required annual OSHA’s reports and forms (Employees First Report of Injury or Illness, Log 300 and Form 301).
Cross trained on payroll functions; provide support to payroll specialist in calculating incentives, commissions, bonuses, garnishments and other payroll processes. Stay abreast of changes in payroll procedures to ensure compliance with regulations and maintain ability to complete payroll in the absence of the payroll specialist.
Execute compliance with the PPACA mandate throughout the plan year. Audits payroll system for yearend preparation of annual IRS 1095 and 1094 forms.
Advocate and assist with company’s CU Well Program strategic plan. Attend wellness meetings and assist with administration of wellness initiative. Assist with maintenance of wellness portal.
Administers employee insurance coverage data due to changes in employee status and eligibility in the appropriate systems. Complete monthly enrollment of newly eligible employees into health plans.
Maintain and update benefit plans, including premium allocations from the payroll system. Complete the benefit rollover process at the beginning of each new plan year in the payroll system.
Manage relationship with 3rd party benefit providers to research and resolve employee questions and problems.
Stay abreast to compliance changes regarding employment law and benefit plan rules and regulations.
Produce separated employee packets; including notice of life insurance portability and conversion, vendor contact list, 401K transfer information, and maintain terminated employee file.
Administer monthly billings and the reconcilliatoin of invoices for payment of administrative fees for all group plans.
Maintain employee files, including integration of new hire information and process of changes in appropriate systems.
Educates all new employees as to company’s benefits during orientation and throughout each plan year.
Administer Tuition Reimbursement program, analyze and prepare reporting on benefit usage to management staff.
Maintain employee retirement plans (401k, Defined Benefit plans) including data entry and maintenance with 3rd party systems as well as assisting in employee education. Assist employees with 401K rollover and loan requests as well as questions.
Initiate COBRA notification to third party vendor. Monitor that notifications are made within time limits and according to federal regulations. Receive and record COBRA insurance premium payments.
Administer Cafeteria Plan/Flexible Spending Accounts. Assist with enrollment and work with employees to show benefits of the plan. Process and maintain forms.
Perform special projects as assigned.
Respond in a timely manner to all employee inquiries via phone or email.
Perform other miscellaneous functions as required.
Knowledge of benefits programs and requirements.
Understanding of Human Resource Department reporting, recordkeeping requirements, procedures and employment law.
Excellent oral/written communication skills, telephone manners/techniques, confidentiality and human relations and problem solving skills.
Proficiency in using Spreadsheet and Word Processing Applications.
At least three years of related experience.
Applicable bachelor’s level degree from a nationally accredited college or university preferred.
Professional certification preferred.
